TITLE: Facility Owned Electronic Devices & Services
REVISED: January 1, 2018

Establishes guidelines for the appropriate use of the facility-owned Electronic Devices and Services (e.g., computers, laptops, computer systems and networks, computer hardware and software, electronic files, email, telephones, voicemail, facsimile machines, Internet Service, cell phones, smartphones, tablets, other personal electronic devices, texts, IMs, apps, etc.).

USE OF FACILITY-OWNED ELECTRONIC DEVICES AND SERVICES
Employees are provided access to facility-owned Electronic Devices and Services to assist them in the performance of their jobs. Employees are responsible for the professional, ethical and lawful use of facility-owned Electronic Devices and Services. Use of facility-owned Electronic Devices and Services is a privilege that may be revoked at any time.

Electronic Devices and Services provided by the facility, including any and all electronic data that is accessed, created, sent, received, or stored on or using the facility’s Electronic Devices and Services, are the property of the facility. Therefore, use of the facility’s Electronic Devices and Services is not private or confidential, and employees using the facility’s Electronic Devices and Services should have NO expectation of privacy.

The facility, within the bounds of current and future laws, reserves and intends to exercise its right to: review, audit, intercept, access, search, record, and save the facility’s Electronic Devices or Services, including any and all electronic data that is accessed, created, sent, received, or stores on or using the facility’s Electronic Devices or Services, at will; monitor data and messages at any time for any reason; and disclose selected contents without notice or other restrictions.

Messages, including but not limited to emails, texts, IMs, and voicemails, that are accessed, created, sent, received, or stored by or through these Devices or Services remain the property of the facility. Employees should not have an expectation of privacy in anything they access, create, send, receive, or store on or using the facility’s Electronic Devices or Services, including web-based personal email and personal text messages.

Occasional limited appropriate personal use of facility-owned Electronic Devices and Services is permitted, if such use does not:

• Interfere with the employee’s job performance;
• Have an undue effect on the facility’s Electronic Devices and Services or the facility’s network’s performance; or
• Violate any other policies, provisions, guidelines or standards of this or any other facility policy.

PROHIBITED ACTIVITIES
Evergreen Estates specifically prohibits the use of the facility’s Electronic Devices and Services, including but not limited to facility e-mail, social media system, or the Internet, in ways that are disruptive, offensive to others, or harmful to morale, including sexually explicit, derogatory, or otherwise offensive messages, images and cartoons, ethnic slurs, racial comments, off-color jokes or anything that could be construed as harassment or shows disrespect for others, defames or slanders others, or otherwise harms another person or business.

Administration reserves the right to determine when an employee is sending excessive or improper e-mail or accessing excessive or inappropriate websites using facility-owned Electronic Devices and Services.

Employees may not use any facility-owned Electronic Devices or Services to access the Internet or to otherwise log onto any web sites that contain any such material, as listed above, including any pornographic web site, or any web site that contains any discriminatory message, or disparages any group.

Employees may not use their facility-designated e-mail addresses for commercial messages of any kind or for messages of a religious or political nature, chain letters, solicitations, and gambling, shopping or other inappropriate usage. E-mail and Internet access should be used in such a way that all transmissions, whether internal or external, are accurate, appropriate, ethical and lawful.

Using facility Electronic Devices or Services to check personal social networks via “web mail” is prohibited.

Use common sense with open web sites, especially when viewing these sites with visitors in the area.

ILLEGAL COPYING
Employees may not illegally copy, send, or receive material protected under copyright or trade secret laws or make that material available to others for copying. Employees are responsible for complying with copyright and trade secret laws and applicable licenses that may apply to software, files, graphics, documents, messages, and other material you wish to download or copy.

PROPRIETARY INFORMATION
Unless expressly authorized to do so, employees are prohibited from copying, sending, transmitting, or otherwise distributing proprietary information, data, and other confidential information belonging to Evergreen Estates. Unauthorized dissemination of such material may result in severe disciplinary action up to and including termination.

FRIVOLOUS USE
Electronic resources are not unlimited. Network bandwidth and storage capacity have finite limits, and all employees connected to the network have a responsibility to conserve these resources. As such, employees must not deliberately perform acts that waste computer or other electronic resources or unfairly monopolize resources to the exclusion of others. These acts include, but are not limited to, sending mass mailings or chain letters, spending excessive amounts of time on the Internet, leaving unattended computers logged onto the Internet, playing games, engaging in online chat groups, uploading or downloading large files, accessing streaming audio and/or video files, or otherwise creating unnecessary loads on network traffic associated with non-business-related uses of the Internet.

VIRUS DETECTION
Files obtained from sources outside Evergreen Estates including disks brought from home, files downloaded from the Internet, files attached to e-mail, and files provided by customers or vendors, may contain dangerous computer viruses that may damage the network. Employees should use caution when downloading files from the Internet or accepting e-mail attachments from unknown sources, and should first scan the material with approved virus checking software. If you suspect that a virus has been introduced into the network, notify IT immediately. Virus protection software will never be turned off.

INAPPROPRIATE CONTENT
Evergreen Estates has the right to utilize software that makes it possible to identify and block access to Internet sites containing sexually explicit or other material deemed inappropriate in the workplace.

Employees should immediately notify their supervisor or manager of any violations of this policy. Employees who violate this policy will be subject to disciplinary action, up to and including termination of employment.

USE OF FACILITY OWNED CAMERAS
Evergreen Estates may use cameras within the building and/or its premises as stipulated in WAC 388-78A-2680.
