TITLE: Hiring Process & Orientation
REVISED: 08/31/2026

ADVERTISEMENT AND BONUSES

All formal advertisements will be done by the front office. Supervisors will be asked for their input on the wording of the postings.

Employees will be informed of all openings via the employee time clock, e-mail or postings.

Hiring bonuses must be approved by the front office prior to them being advertised, discussed and offered. All bonuses will be offered in writing to an applicant on the day of initial orientation.

VERIFY THE POSITION

Front office and the supervisor will verify what positions are open before advertising and before hiring. There must be an appropriate position open for the hiring process.

If a position is open due to a resignation the resignation of the employee must be received in writing by the front office before posting it or hiring for it.

INTERVIEWING & REFERENCES CHECKS

Department supervisors will interview the applicant. If the supervisor decides they want to hire the applicant, they have the option of checking the 3 references on their own or having the front office doing this on their behalf. References should be work related when at all possible. Reference checks must be completed before the employee is given a letter of hire and must be turned into the front office along with a completed application.

OFFER LETTER & CRIMINAL BACKGROUND CHECKS

Supervisors will complete an offer letter that will be given to the applicant along with a Criminal Background check form. The completed background check form and a copy of the offer letter are given to the front office. The background check will be loaded into the DSHS database. Supervisor will be informed of the results before any hire paperwork is provided to the applicant.

HIRE PAPERWORK

Given to the applicant after an approved Criminal Background Check is received by the front office. Applicant will be given a date and time to meet with the front office to review the paperwork.

TB TESTING

TB Testing is required for all employees on the day of their front office orientation, which is not paid. TB testing requires 2-3 days for reading; hence, TB testing cannot be performed on Thursday or Friday and is also dependent on the Holiday schedule.

FOOD HANDLER CARDS – DIETARY

Employees may not be allowed to work in the kitchen unless the front office has a HARD COPY of the active food handler’s card.

CERTIFICATIONS/LICENSURE

Professional licensure and certifications must be verified prior to the applicant being offered the position.

FRONT OFFICE PAPERWORK SESSION

Front office paperwork session must be accomplished prior to the employee working in any department. The appointment is paperwork driven and it is designed to ensure all required information is obtained.

The most common issues that WILL prevent the employee from starting:

• Doesn’t have the required documents to satisfy the I-9 process. Due to the national push to have the I-9 completed an employee will not be allowed to start if they miss any documents that are required.
• Doesn’t have the required processional certifications
• Doesn’t have the food handlers’ card for the kitchen
