TITLE: Time Clock and Payroll Processing

SCHEDULING
Supervisors establish reoccurring schedules based on the needs of our residents and tenants. Since the services we offer may change from time to time, staffing needs may change to correspond with the increase or decrease in the services we offer.
Staffing needs fluctuate with the overall population (census) within the facility. As our census increases or decreases, so do our staffing needs. Evergreen makes no guarantees of scheduling a particular level of work hours per day, per week, or per payroll period.
Employees are responsible for checking work schedules on a regular basis for any changes. Supervisors will make a reasonable effort to notify staff of schedule changes.
TIME CLOCK
Employees are expected to work their assigned shifts and times. Employees are expected to clock in and be ready for work at the start of their scheduled shift. If an employee is more than one minute late to their workstation, they are considered tardy.
Evergreen requires employees to use the time clock for punching in and out for work and if they leave the premises for any reason that is not work related. Employees are responsible for keeping an accurate account of all hours worked by using the time clock. Employees must notify their supervisor immediately if their time is not accurately recorded for any reason (e.g., a missed or late punch) so that the employee’s hours can be immediately corrected for payroll.
Employees are not permitted to clock in more than 3 minutes before the start of their shift unless they are requested to begin work early by a supervisor.
Employees who repeatedly fail to use the time clock incorrectly or not may be disciplined or terminated.
REST & MEAL PERIODS
Employees are granted one 10-minute paid rest period for every 4 hours of scheduled work.
Employees are required to take an unpaid 30-minute meal period for every 5 hours worked. The time clock system automatically deducts a 30-minute meal period when an employee works 5 hours or more. If your meal period is interrupted for a work-related reason at any time before the end of 30 minutes (e.g., a resident emergency) you must take a new, full 30-minute meal period. If, by the end of your shift, you are unable to take a full 30-minute meal period for any reason, you must immediately report this to your supervisor and document the missed meal break on your time sheet and the 30 minutes will be added back in.
If an employee makes repeated claims of not being able to enjoy their full 30-mimute meal periods the supervisor will investigate the reason for this and make the necessary adjustments to assure employees are enjoying their full meal periods.
Evergreen reserves the right to schedule meals and rest periods.
TIME SHEETS
Time sheets are produced no later than every other Monday. Employees are given until 10 AM on Wednesday to verify the accuracy of their time sheet at which time they will be returned to the front office for processing of payroll.
Employees who falsify information on their time sheets will be terminated.
If an employee fails to sign their time sheet the supervisor will make reasonable efforts to verify the information with the employee and this will be documented on the time sheet.
PAY PERIODS & PAYDAYS
Pay periods consist of a 2-week period of time. They start on a Sunday and they end on a Saturday.
Paydays are every other Friday. Hardcopy payroll checks can be pick-up during normal business hours at the front office. All employees are required to participate in Direct Deposit.
Paychecks left in the office for a week will be mailed to the address as shown on the paycheck; thus, employees are encouraged to check their mailing address on file frequently.
Paychecks will not be released to another individual without written documentation from the employee.
PAYROLL ADVANCES
Evergreen Estates does not perform payroll advances.
GARNISHMENTS
Evergreen Estates is required to comply with court/state ordered garnishments. The maximum allowable fee associated with setting up these garnishments will be charged to the employee and removed from their gross wages.
OVERTIME
If you are not exempt from federal and state overtime requirements, you will be paid 1.5 times your regular rate of pay for hours worked over 40 hours in one workweek. Unauthorized overtime will be paid; however, you may be subject to disciplinary action for repeated and unauthorized overtime.
